“It's urgent”: where to put a task when your day is already full

A new task does not create new hours. How to clarify urgency, choose the smallest useful result and agree on what will move.

A spring in a free space in the schedule cushions the arrival of an urgent task

Before saying yes, find out what you are agreeing to

Julia has three hours of independent work left. Two are needed for a calculation and another hour for reviewing a proposal. A request arrives in chat: “Prepare a report urgently; we need it today.” Julia estimates another two hours for it. Simply adding an item to the list would put five hours of work into a three-hour window. These are illustrative numbers, not a workload standard.

An urgent request needs boundaries. What result is needed, by when and what happens if it is not ready? Without these answers, the word “urgent” alone is not yet a reason to rearrange the whole day.

Clarify the request rather than arguing about urgency
  1. A vague request

“Prepare the report today.” The contents, recipient and reason for the deadline are unclear.

  2. A workable agreement

“We need three checked figures for a call by 16:00. The formatted document can wait until tomorrow.”

It will not always be possible to agree on the second version. Sometimes the full result really is needed now. But clarification lets you decide about actual work rather than an alarming phrase. In an emergency, follow your team's established response procedure; this article covers ordinary work requests.

Look at available time rather than list length

First account for scheduled meetings and other fixed commitments. Then compare the remaining window with the work you intended to do. Estimates are approximate: if the task is unclear, allow time to establish the conditions rather than promising accuracy to the minute.

In our scenario, all three free hours are already allocated. So an additional two-hour task requires a change of plan. You could reduce its scope, move some current work, get help or agree on a different deadline. Promising everything without changes is also a decision, but it relies on hours you do not currently have.

Offer options with a clear cost

How to make room for the new request
  1. Reduce the scope

Three checked figures today; formatting tomorrow. This works if the recipient needs the information itself right now.

  2. Move other work

The report today, the calculation tomorrow. Check whether that disrupts the subsequent review and sending.

  3. Share the work

You check the figures; a colleague handles formatting. First check their availability and the boundaries of responsibility.

  4. Change the deadline

The full document tomorrow. This only works after agreement with the person waiting.

Julia suggests: “I can prepare three figures by 16:00. If the full document is needed today, the proposal calculation will move to tomorrow, leaving less time for review. Which result matters more right now?” This describes a choice rather than a refusal to work. You cannot decide for the recipient that a reduced version will suffice.

If two requests have different owners, agreement from just one of them may not be enough. Tell the person who helps set priorities about the conflict and name the specific consequences. Do not pretend the app has decided whose promise matters more.

After deciding, change the specific task

Suppose everyone agrees to move the figures review to the next available day. In Sinqly, open that task's date and change its planned day. Then return to the list and check the next step: sending. If it no longer fits before the promised deadline, the agreement is still incomplete.

It helps to leave a brief reason and next step in the description. “Rescheduled by agreement; first obtain the revised figures” is clearer than a silently changed date. Do not turn the comment into a long justification—it is there to help you return to the work.

Record the urgent request itself as a verifiable action: “Prepare three figures for the call by 16:00.” If the full document is needed later, that is a separate part of the work with its own decision about the day. Otherwise, it is easy to confuse the reduced result with fulfilling the whole original request.

Do not start everything at once

Once the agreement is made, choose what you are doing now and what is deliberately waiting. Switching between the calculation, report and correspondence every few minutes is not the same as completing three jobs in sequence. Give the current work a clear stopping point.

Kanban uses work-in-progress limits for a similar problem: Atlassian describes them as limits on the number of tasks at a stage. We do not prescribe a mandatory number for a personal workday or claim that Sinqly applies such a limit automatically. The practical point is simpler: starting another task should be deliberate.

A short sequence for switching work
  1. Stop at a clear point

Save the result and record where to resume the interrupted work.

  2. Do what was agreed

Complete exactly the scope of the urgent request that was agreed on.

  3. Return according to the plan

Check the time left and open the next step, rather than the whole list at once.

When “urgent” arrives every day

A one-off request can be fitted into a day. A recurring stream is a working condition that deserves a place in planning. Look at which requests arrive, who brings them and what they regularly displace. These observations can help you discuss availability, request intake or a time buffer.

Start with the next real case. Clarify the needed result and deadline, show the consequences for current promises and record the chosen option. A good plan handles change because it helps discuss choices, rather than because it fits everything in.

More questions to clarify

What if my manager says everything is important?

Show the specific time conflict and the results that may move. Ask them to choose the order or change the scope. If the order is set, record it and tell the affected people about the consequences.

Should I reserve a fixed percentage of the day?

This article gives no universal percentage. Use the observed flow of requests and actual commitments as your guide. A buffer only helps if its size matches your work.
